Relatara is committed to protecting the privacy of dealerships and their customers. This Privacy Policy explains how we collect, use, and protect information when you use our platform.

1. Introduction

Relatara Inc. ("Relatara," "we," "us," or "our") operates an AI-powered automotive sales intelligence platform. This Privacy Policy describes how we collect, use, disclose, and safeguard information when you access or use our Service.

By using Relatara, you agree to the collection and use of information as described in this Policy. If you are accessing the Service on behalf of a dealership, you represent that you have authority to accept this Policy on the dealership's behalf.

2. Information We Collect

A. Information dealerships and users provide directly:

  • Dealership name, address, and contact information
  • Associate and manager account details (name, email address, role)
  • Customer profiles entered by associates: name, phone, email, vehicle preferences, budget, and notes
  • Vehicle inventory data including photos, pricing, VINs, and specifications
  • Session data from customer interactions
  • Messages sent through the AI sales assistant

B. Information we collect automatically:

  • Usage data: pages visited, features used, session duration, clicks, and navigation patterns
  • Device information: browser type, operating system, screen resolution
  • IP address and general geographic location (country/region level)
  • Authentication tokens and session identifiers
  • Error logs and performance data used to improve reliability

3. How We Use Information

We use the information we collect to:

  • Provide, operate, and maintain the Relatara platform
  • Generate AI-powered vehicle recommendations personalized to each customer
  • Send transactional emails including account invitations, password resets, and appointment reminders
  • Provide customer support and respond to inquiries
  • Analyze usage patterns to improve features and user experience
  • Monitor platform health, security, and prevent fraud or abuse
  • Send product updates and announcements (with the ability to opt out at any time)
  • Comply with legal obligations

4. AI and Data Processing

Relatara's vehicle recommendation engine is powered by Anthropic's Claude AI. When generating recommendations:

  • Customer preference data (budget, desired features, vehicle type) is sent to Anthropic's API to generate personalized recommendations
  • Data sent to Anthropic is governed by Anthropic's privacy policy at anthropic.com/privacy
  • Relatara does not use dealership or customer data to train AI models
  • Recommendation patterns used for platform improvement are anonymized and aggregated
  • You may opt out of AI-powered features by contacting support@relatara.com

5. Data Sharing and Disclosure

We do not sell your personal information. We share data only in the following limited circumstances:

  • Supabase — database hosting and authentication (data processor only)
  • Anthropic — AI recommendation generation (data processor only)
  • Resend — transactional email delivery (data processor only)
  • Law enforcement — when legally required by valid court order, subpoena, or applicable law
  • Business transfers — in connection with a merger, acquisition, or sale of assets, with prior notice to affected users

All data processors are bound by contractual obligations to protect your data and use it only to provide services to Relatara.

6. Data Security

We implement industry-standard security measures to protect your data:

  • All data is encrypted in transit using TLS 1.3
  • Database data is encrypted at rest using AES-256
  • Row-level security ensures complete isolation between dealership accounts — no dealership can access another's data
  • Multi-factor authentication is available for all user accounts
  • Access logs are maintained for all administrative operations
  • Regular security audits and vulnerability assessments
  • Incident response procedures in place for potential breaches

While we take reasonable measures to protect your data, no system is completely secure. We encourage you to use strong passwords and enable MFA.

7. Data Retention

  • Active accounts: Data retained for the duration of the account relationship
  • Customer data: Retained per the dealership's own settings and applicable law
  • Trial accounts: Data retained for 90 days after trial expiry
  • Closed accounts: Data deleted within 90 days of account closure
  • Backup data: Purged from backups within 30 days of deletion from primary systems
  • Audit logs: Retained for up to 12 months for security and compliance purposes

8. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

  • Access: Request a copy of the personal data we hold about you
  • Correction: Request correction of inaccurate or incomplete data
  • Deletion: Request deletion of your personal data ("right to be forgotten")
  • Portability: Request your data in a structured, machine-readable format
  • Opt-out: Opt out of marketing communications at any time
  • Objection: Object to processing of your data in certain circumstances
  • Complaint: Lodge a complaint with a supervisory authority in your jurisdiction

9. Cookies

We use a minimal set of cookies strictly necessary for the Service to function:

  • Authentication cookies: Maintain your signed-in session securely
  • Preference cookies: Remember your settings such as theme and display preferences

We do not use advertising cookies, cross-site tracking cookies, or third-party analytics cookies. We do not participate in behavioral advertising networks.

10. Children's Privacy

The Relatara Service is designed for use by automotive dealership professionals and is not directed to children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us at support@relatara.com and we will promptly delete it.

11. International Data Transfers

Relatara is operated from the United States. If you are accessing the Service from outside the United States, your data will be transferred to and processed in the United States, where data protection laws may differ from those in your country.

We use appropriate safeguards for international data transfers, including standard contractual clauses where required by applicable law. By using the Service, you consent to this transfer.

12. California Privacy Rights (CCPA)

California residents have additional rights under the California Consumer Privacy Act (CCPA):

  • Right to Know: You may request disclosure of the categories and specific pieces of personal information we have collected about you
  • Right to Delete: You may request deletion of personal information we have collected from you
  • Right to Opt-Out: You may opt out of the sale of your personal information — however, Relatara does not sell personal information
  • Right to Non-Discrimination: We will not discriminate against you for exercising your CCPA rights

13. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. For material changes, we will notify dealership account administrators by email at least 30 days before the changes take effect.

The "Last updated" date at the top of this page indicates when this Policy was most recently revised. We encourage you to review it periodically.
